Job Description

Responsible for front office operations. Verify patient demographics and insurance information. Assure completion of intake paperwork. Collect co-pays, schedule appointments, charge entry, pre-authorizations and referrals. Serve as a liaison between clinic and patient.

MAJOR WORK ACTIVITIES:

Patient Check-in
- Scan insurance cards and drivers license cards
- Confirm demographic information and note changes as appropriate for established
patients
- Have new patients complete new patient forms (demographic/patient history)
- Obtain necessary patient signatures (HIPAA, insurance, etc.)
- No show letters - track patients that do not show for appointments and mail out
no show letter; document appointment no show in the patient chart or call
referring office if the no show was a new patient
-Collect co pays

Patient Checkout
- balance money at the end of the day
- Schedule return appointments
- Enter new patient demographic/insurance information
- Enter demographic/insurance changes for established patients
- Copy encounter forms for patients that are scheduled for admission
- Obtaining insurance referrals and tracking available visits

Appointment Scheduling
- Answer incoming calls and schedule appointments accordingly
- Mail new patient packets
- Schedule referral appointments
- Schedule return appointments
- Schedule tests (CT scans, MRAs, PET scans, PFTs, etc.) and fax appropriate orders
- Precertification for scheduled diagnostic tests

Miscellaneous
- Moving/reschedule physician office times as needed (i.e. emergencies, vacations, etc.)
- Chart preparation (run encounter forms/assemble charts for the following day)
- Run/mail appointment cards
- Appointment Reminder Pro
- Charge entry/Lawson Materials Management/Kronos

KNOWLEDGE, SKILLS AND ABILITIES:

1. Prior experience in a medical office setting strongly preferred.
2. General knowledge of medical terminology.
3. Skills in operating a computer, telephone, fax and photocopy machine.
4. Good working knowledge of grammar, spelling and punctuation to type patient information.
5. Ability to exercise initiative, problem solving, decision-making and multi-tasking.
6. Ability to evaluate and appropriately respond to verbal and nonverbal communication from patients.
7. Physical and mental skill required are: ability to sit and stand for long periods of time, occasionally lifting files or equipment up to 25 pounds, manual dexterity sufficient to operate a keyboard, must pass assessment given in Human Resources.
8. Must have the ability to establish and maintain effective working relationships with patients, employees and the public.
9. Positive attitude, maturity, professionalism, dedication, flexibility, customer service skills required.
10. Ability to abide by the Moses Cone Standards of Behavior required.

KNOWLEDGE, SKILLS AND ABILITIES:

1. Excellent verbal and written communication skills required.
2. Ability to reach, bend, stoop, and sit for extended periods of time.
3. Excellent phone skills required.
4. Coding knowledge (CPT, ICD-9-CM, HCPCS) preferred.
5. Medical Terminology required.
6. Computer skills required.
7. Excellent organizational skills.
8. Ability to work independently.
9. Medical billing or insurance background recommended.
10. Clinical background recommended.
